The Executive Assistant at Scapia provides high-level administrative support to the Founder and contributes to the efficient operation of the startup. This role requires versatility, adaptability, and a proactive approach to supporting company goals and initiatives.
Focus Areas:
Executive Support -
- Manage the calendars and schedules of the Founder, including arranging meetings, appointments, and travel itineraries.
- Serve as the primary point of contact for internal and external stakeholders, screening and prioritising communications as necessary.
- Assist with the arrangement of presentations, reports, and other documents for meetings and presentations.
- Compile information as requested by the Founder or team.
- Handle sensitive information with confidentiality and discretion
Office Administration -
- Oversee office operations, including maintaining supplies, equipment, and facilities to ensure a productive work environment.
- Coordinate logistics for company events, meetings, and conferences, including venue booking, catering, and audiovisual arrangements.
- Coordinate with vendors to efficiently manage daily administrative tasks.
Relationship Management -
- Build and maintain positive relationships with internal teams, external partners, investors, and other stakeholders.
- Facilitate communication and collaboration between departments, fostering a cohesive and supportive work environment.
- Represent the Founder and company in interactions with clients, vendors, and other external partners.
Profile:
- Bachelor's degree or equivalent work experience in a related field.
- Previous experience as an executive assistant, office manager, or in a similar administrative role, preferably in a startup or fast-paced environment.
- Proficiency in productivity software tools such as Google Workspace, Zoom and other collaboration software.
- Excellent organizational skills with the ability to prioritize tasks, manage multiple deadlines, and adapt to changing priorities.
- Strong written and verbal communication skills, including attention to detail and discretion in handling sensitive information.
- Resourcefulness and problem-solving ability to resolve issues and streamline processes in a dynamic startup environment.
- Positive attitude, flexibility, and willingness to take on new challenges and responsibilities as the company grows.
- Ability to work independently with minimal supervision and as part of a collaborative team.
